When you shop with Shiny Occasions or send us a message, you share information that helps us prepare your order and answer your questions. Here is how we use it.
Who we are
Shiny Occasions is operated by SSAN LTD, company number 17429256. We are responsible for how your personal information is used, known as the data controller. You can contact us with any privacy question or request. Our company details and registered office are on our Legal Information page.
What you share with us
- Your name, email address and delivery address when you order. A telephone number is optional.
- The products and options you choose, including any names you enter for personalised vinyls.
- Your order, payment, delivery and refund records.
- The details you include when you contact us.
We need the required checkout details to process and deliver your order. Stripe handles your payment-card details; we do not store your full card number.
How we use your information
- Your order: to take payment, prepare your items, arrange delivery and help with returns. We use this information to fulfil our contract with you or take steps you request before an order.
- Our legal responsibilities: to keep the accounting and transaction records required by law and respond to lawful requests.
- Running the shop: to answer enquiries, prevent fraud and keep the shop secure. We rely on our legitimate interests for these purposes, balanced against your rights.
We do not send marketing emails or use advertising trackers.
Who helps us fulfil your order
We share information with service providers where it is needed for their part of the order:
- Stripe processes payments and refunds.
- Supabase stores our order information and supports secure staff access.
- Our delivery provider receives the details needed to deliver your parcel.
- Our website host supports the operation of the shop.
If automated order emails are enabled, Resend handles those messages. These are order updates, not marketing. Some providers also process information to meet their own legal obligations.
Where information is processed
Some service providers may process information outside the UK. You can contact us to ask about where your information is processed and the safeguards that apply.
How long we keep it
We keep order and payment records for as long as needed to fulfil your order, deal with returns or disputes, and meet tax, accounting and other legal requirements. For enquiries, we consider whether your question has been resolved and whether the message is needed for an order or ongoing issue. These needs determine how long we retain each record.
Your choices and rights
You can ask us for a copy of your personal information, ask us to correct it, or request deletion. Depending on the circumstances, you can also ask us to limit its use or provide it in a portable format. Some records must be kept to meet legal obligations.
You can object to uses of your information based on our legitimate interests. Contact us to explain your circumstances so we can consider your request.
To exercise your rights, use our contact page. We may need to check your identity before sharing or changing personal information. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data protection regulator.
Keeping your details safe
Customer records are not publicly accessible. Access to order information is restricted to authorised staff and the services needed to run the shop. No online service can promise complete security, but we use access controls to help protect your details.
